Important information about using our website and services.
These terms and conditions of use explain how you may use this website and any of its content. They apply between New Horizons Imaging Ltd and you, the person accessing or using the site.
By using the site, or otherwise indicating your consent, you agree to be bound by these Terms. If you do not agree with any of these Terms, you should stop using the site immediately.

Using the site
We make no promise that the site is appropriate or available for use outside the UK. If you access the site from outside the UK, you are responsible for complying with local laws where they apply.
We try to make the site as accessible as possible. If you have difficulty using the site, please contact us.
We may prevent or suspend your access if you do not comply with these Terms or applicable law. We may also amend these Terms from time to time and will notify you of changes where required.
Registration and password security
Use of the site may require registration, particularly to access restricted areas. We may refuse, terminate or suspend registration at any time.
You are responsible for keeping your password and account details secure and confidential. If we believe there may be a security breach or misuse, we may require you to change your password or suspend your account.
Personal information provided during registration will be processed in line with our Privacy Policy.
Booking an appointment with us
When you book an appointment through nhimaging.co.uk, acceptance of your booking takes place when we confirm your appointment details.
- Please read and check your appointment booking carefully before submitting it.
- You will be able to correct errors before submitting your appointment booking.
- We will acknowledge your booking by email.
- If we cannot accept your booking, we will contact you and will not charge you for that cancellation.
- A contract is formed once your appointment booking is confirmed.
- If you are under 18, you may not buy services from the site.
Price and payment
The price of the service will be the price shown in the applicable price list on the date of your booking, unless otherwise agreed in writing. We reserve the right to amend prices at any time.
The price of your procedure will be confirmed at the time of booking. Full payment must be made before the procedure. Payment may be made over the telephone via our secure payment system.
All prices are in pounds sterling (£ GBP).
Email receipts are issued after payment. Paper receipts are available on request.
Payment may be made by credit or debit card, depending on the card issuer.
We do not accept cash payments.
We use encrypted secure payment mechanisms. In the absence of negligence or breach by us, we are not legally responsible if a third party gains unauthorised access to information you provide.
Right to cancel or reschedule
You have the right to cancel your appointment within 72 hours without giving any reason, provided the appointment was not scheduled for the same day or following day. To reschedule, you must provide at least 48 hours’ notice.

To cancel or reschedule, you must inform us by a clear statement, such as by post or email.
Effects of cancellation
If you cancel within the permitted timeframe, we will reimburse all payments received from you without undue delay, and no later than 14 days after we are informed of your cancellation.
Reimbursement will be made using the same payment method as the original transaction unless otherwise agreed. If you cancel outside the stated timeframe, such as on the day of your appointment, full payment will be maintained.
Carrying out the service
We will carry out the services on your scheduled appointment date and within a reasonable time. We are not liable for delay or cancellation caused by circumstances beyond our reasonable control.
If such circumstances affect your appointment, you may reschedule at no additional cost or cancel and receive a full refund for services not provided.
Appointments, late arrival and non-attendance
Please arrive at least 15 minutes before your scheduled appointment time.
If you arrive more than 15 minutes late, we may not proceed if this would disrupt other service users.
If you fail to attend without notice, the appointment will be treated as missed and charged in full.
Early arrival allows time for checks, consent forms, documentation and procedure preparation.
Referrals, self-referrals and patient safety
Patients may access our services through a healthcare professional referral or by self-referral. All referrals and self-referrals are subject to clinical review, and we decide whether the requested procedure is appropriate and safe.
Patient Safety Questionnaire
All patients must complete a Patient Safety Questionnaire before any procedure. For website bookings, this forms part of the online booking process. For other bookings, a secure link will be sent by email.
Failure to complete the safety questionnaire may result in the appointment being delayed, rescheduled or cancelled.
Pre-appointment information
Once confirmed, patients receive an email service pack with appointment details, directions, parking information, relevant procedure information, FAQ link and arrival instructions.
Arrival and images
On arrival, staff will check patients in and guide them through admission. Where images are produced, excluding echocardiograms, they will be made available through an online portal with a copy of your report, provided there are no urgent findings.
Your privacy and personal information
Your privacy and personal information are important to us. Any personal information you provide will be handled in line with our Privacy Policy.
We comply with applicable laws relating to personal data, including the Data Protection Act 2018 and UK GDPR.
Ownership, use and intellectual property rights
Intellectual property rights in the site and its content are owned by us and our licensors. Nothing in these Terms gives you legal rights in the site or content other than as necessary to access it.
Our responsibility to you
If we breach these Terms or are negligent, we are liable for foreseeable loss or damage you suffer as a result. We are not liable for unforeseeable loss, loss not caused by our breach or negligence, or business loss.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability that cannot legally be excluded.
Events beyond our control, third party rights and variation
We are not liable if we fail to comply with these Terms because of circumstances beyond our reasonable control. No one other than us or you has the right to enforce these Terms.
We may vary these Terms from time to time. Updated Terms will be displayed on the site and continued use means you agree to be bound by the updated version.
Complaints
We strive to provide a high standard of service. If you are dissatisfied or wish to provide feedback, contact info@nhimaging.co.uk.
We aim to acknowledge complaints in writing within 20 working days and provide a full written response within 20 working days where possible. If more time is needed, we will keep you informed.
Governing law and jurisdiction
These Terms and any dispute or claim are governed by the law of England and Wales.
Any disputes will be subject to the jurisdiction of the courts of England and Wales, while residents elsewhere retain any mandatory protections given by the laws of that country.
Schedule 1 – Further information
Any findings within a report deemed “Urgent” must be discussed with a clinician before the report is provided to you.
Self-pay service users
The price of your procedure will be confirmed at booking. Full payment must be made before the procedure. Images will be provided via an online portal, and your report will be sent to your referring clinician or NHS GP if you self-referred.
Medico-legal referrals
If referred by a solicitor or medico-legal professional, you must confirm payment will be covered by that organisation. If not paid by your referrer, you are responsible for payment. Images or reports will be provided to your medico-legal referrer.
Private company referrals
If referred by a private company, you must confirm payment will be covered by your referrer. If not, you are responsible for payment. Images will be made available through an online portal and may also be provided to your referrer.
Private medical insurance
You must check your policy with your insurer before your appointment. If your procedure is not covered or paid by your insurer, you remain responsible for applicable fees, including any excess. You must provide insurer name, pre-authorisation number and membership number.
Self-referral
These Terms must be read with the Self-Referral Patient Information Form, which forms part of your contract with us. With consent, a copy of your report will be provided to your GP.
If urgent findings require clinical action, you may be offered a virtual private GP consultation at additional cost before the report is released. If a private GP consultation cannot be arranged, the report will be sent to your GP. Urgent reports will not be released directly to a patient without prior GP or clinician discussion.
